1. Who We Are
Montclare Technology Limited ("Montclare", "we", "us", or "our") is a technology services company that provides software development, systems integration, digital communication, support, and related technology services to organizations, including education clients.
BlackboardBuddy is a school management and communication platform developed and operated by Montclare Technology Limited. Schools may use BlackboardBuddy for administration, parent and guardian communication, digital workflows, notifications, and integrations including WhatsApp Business messaging.
For certain education clients, including Al-Huda School and other schools that authorize us to do so, Montclare may configure and manage technology integrations such as WhatsApp Business messaging on the school's behalf.
2. Scope of This Privacy Policy
This policy applies to personal information processed through:
- Montclare's public website and online contact points;
- software, portals, APIs, integrations, and support services provided by Montclare;
- WhatsApp Business Platform integrations and messaging services managed by Montclare for itself or for authorized clients;
- communications with customers, school administrators, parents, guardians, students, staff, vendors, and other authorized users; and
- technical logs and security records generated when our services are used.
3. Our Role When Working for Schools and Other Clients
When a school or another client uses Montclare to provide technology or WhatsApp messaging services, the client generally determines the purpose of the communication and the information that should be used. In those circumstances, Montclare acts as a service provider or processor and processes information according to the client's instructions, our agreement with that client, and applicable law.
Each school retains its own institutional identity, branding, operational responsibility, and responsibility for obtaining any notices or permissions required from parents, guardians, students, staff, or other recipients.
4. Information We May Collect or Process
4.1 Contact and account information
- Name, business or school name, job title, email address, phone number, and postal address;
- usernames, internal account identifiers, and role or permission information;
- billing and transaction-related information where applicable.
4.2 School and messaging information
Depending on the services requested by a school, information may include parent or guardian contact details, student identifiers or names, staff contact details, notification preferences, and the content or status of school-related communications such as admissions, attendance, fees, academic notices, homework, schedules, results, and other authorized school notifications.
4.3 WhatsApp Business information
When WhatsApp messaging is enabled, we may process the recipient's WhatsApp-enabled phone number, message content, template variables, timestamps, delivery/read status, message identifiers, replies, and technical webhook or API events needed to send, receive, troubleshoot, or record authorized communications.
4.4 Technical and website information
We may receive IP address, browser/device information, system logs, API request information, security events, and similar technical data needed to operate, protect, and troubleshoot our services.
5. How We Use Information
We use or process information as reasonably necessary to:
- provide software, integrations, hosting, support, and messaging services;
- send authorized transactional, service, utility, administrative, or school-related communications;
- receive and route replies or service messages where the applicable integration supports two-way messaging;
- authenticate users, manage access, and protect systems against unauthorized use;
- troubleshoot errors, monitor delivery, maintain service quality, and provide customer support;
- maintain billing, accounting, audit, and business records;
- comply with applicable legal, regulatory, contractual, and platform requirements; and
- improve the reliability, security, and operation of our services.
6. WhatsApp Business Platform and Meta
BlackboardBuddy may use or integrate with the WhatsApp Business Platform provided by Meta for school messaging services. Montclare also uses or integrates with the WhatsApp Business Platform for certain other authorized messaging services. When a WhatsApp message is sent or received, information necessary to provide the service may be transmitted to and processed by Meta and its service infrastructure in accordance with Meta's and WhatsApp's applicable terms and privacy practices.
Montclare does not control Meta's independent processing of information. Users should also review the privacy information provided by WhatsApp and Meta.
Business-initiated messages may use approved WhatsApp templates. Recipients should only receive such messages where the applicable client has an appropriate basis or permission to contact them, including opt-in where required by WhatsApp policy or applicable law.
7. Information About Children and Students
Some of our education services may process limited student information on behalf of a school. Montclare does not intentionally use student or children's personal information for independent advertising or sell it for marketing purposes. We process such information only as necessary to provide the services requested by the school, subject to the school's instructions and applicable agreements.
Schools are responsible for determining what student information may be shared with Montclare and for obtaining any parental, guardian, student, or other authorization required by applicable law or school policy.
8. How We Share Information
We may disclose information only as reasonably necessary to provide and protect the services, including to:
- the school, business, or organization that authorized the service;
- Meta/WhatsApp and other technology providers required to transmit or support communications;
- hosting, infrastructure, security, payment, analytics, or technical service providers acting on our behalf;
- professional advisers such as accountants, auditors, or legal counsel where necessary; and
- government authorities or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, or security.
We do not sell personal information obtained through school technology or WhatsApp integrations for third-party advertising.
9. Data Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected or processed, to provide contracted services, maintain required business records, resolve disputes, enforce agreements, comply with legal obligations, or protect system security. Retention periods may vary depending on the client, service, type of information, and applicable requirements.
Where Montclare processes data solely on behalf of a client, deletion or return of that data may also be governed by the client's instructions and our contract with that client.
10. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, misuse, loss, alteration, or disclosure. These safeguards may include access controls, authentication, role-based permissions, encrypted communications, logging, monitoring, and other security measures appropriate to the service.
No internet or electronic transmission can be guaranteed to be completely secure. Users should avoid sending highly sensitive information through WhatsApp or other messaging channels unless the applicable school or service specifically instructs and authorizes them to do so.
11. Your Choices and Rights
Depending on your location and the nature of the relationship, you may have rights to request access, correction, deletion, restriction, or other actions relating to your personal information. If your information is being processed on behalf of a school or another Montclare client, we may direct your request to that organization because it may be responsible for deciding how the information is handled.
If you no longer want to receive WhatsApp messages from a school, contact the school using its official contact information or use any opt-out method provided in the communication. Montclare will support client instructions to honor valid opt-out requests where our systems are responsible for the messaging integration.
12. Data Deletion Requests
To request deletion of personal information that Montclare controls, email Info@montclaretechnology.com with the subject line Data Deletion Request. Please include enough information for us to identify the relevant account, service, or communication.
For school-managed information, you may also contact the relevant school directly. When Montclare is acting only as a service provider for a school, we may need the school's authorization before deleting data from that school's systems.
13. International Data Processing
Montclare, its clients, and technology providers may operate in different countries. As a result, information may be processed in jurisdictions other than the location where it was collected. Where required, appropriate contractual or other safeguards may be used to support such processing.
14. Third-Party Links and Services
Our website or services may contain links to third-party websites or services. Their privacy practices are governed by their own policies. Montclare is not responsible for the privacy practices of third parties that operate independently from us.
15. Changes to This Privacy Policy
We may update this Privacy Policy when our services, technologies, legal obligations, or business practices change. The "Last updated" date at the top of this page indicates the most recent revision. Material changes may also be communicated through appropriate service or client channels where required.
